What information do we use, and why?
The name, company, phone number or email address, and the origin, destination and cargo information you provide in quote and contact forms are recorded so we can assess your request, discuss transport conditions and respond to you. This information is not published on the shipment tracking screen or in the references section; it is visible only to authorised persons in the company management interface.
Track with your shipment code
Anyone who knows the tracking code can view the shipment's origin and destination cities, cargo description, stages and any approximate location. Only share the code with the sender, recipient and people involved in the shipment. Personal contact details, driver identity, vehicle registration and private operational notes are not shown on this screen.
Carrier location sharing
The carrier explicitly starts location sharing through their private link and grants location permission on their device. Received coordinates are converted to an approximate area on the server; the system does not store a history of precise GPS coordinates. Customers see an area with a radius of at least approximately 5 kilometres and the last update time. The displayed area increases when the device's location accuracy is lower.
Location sharing depends on an internet connection, browser support, permissions and keeping the page open. Sharing can be stopped. New locations cannot be sent for a delivered shipment or one with revoked access. The carrier key may be retained for the session in the same tab; management panel passwords are not saved in the browser's persistent application storage.
Legal bases
Assessment of and response to a quote request is based on GDPR Article 6(1)(b) to the extent necessary for steps, at your request, before entering into a possible transport contract. Limited records necessary for system security, preventing misuse and operating the service are based on legitimate interests under GDPR Article 6(1)(f); your right to object to processing on that basis remains available. Shipment and approximate location data are processed to the extent necessary to perform an active transport relationship; device location is not obtained unless the carrier starts sharing and grants device permission.
Sessions and essential records
An essential session cookie is used for management access. Rate-limiting records for login and API requests are kept to help prevent abuse. The site does not set advertising or visitor analytics cookies. Logo, image and base map files are served with the website.
Your appearance and language preferences are stored in this browser. Translation files are served with the website; form details are not sent to another service for translation.
Recipients and hosting in Türkiye
UDENZA personnel who need access for their duties may access form, shipment and management data. The site and application use Natro's hosting infrastructure in Türkiye; personal data may therefore be transferred from the data controller in Romania to the hosting service in Türkiye. As Türkiye is not on the European Commission's current list of countries covered by an adequacy decision, the GDPR Chapter V rules must be considered for transfers outside the EU/EEA. This notice does not claim that any particular Standard Contractual Clauses (SCC) have been signed or that Türkiye is covered by an adequacy decision. European Commission adequacy decisions.
Retention criteria
We do not state a fixed number of days or an automatic deletion schedule that applies to all quote and shipment records. Retention needs are determined by factors such as whether the request or transport is still open, customer communication and dispute management, applicable legal retention obligations, legal claims and system security needs. When those needs end and no obligation requiring longer retention remains, deletion or anonymisation is considered.
External links
Selecting a WhatsApp link takes you to WhatsApp; the prepared message is sent only when you send it. Opening an external map link adds the approximate location to the map service's address. Those services have their own privacy policies.
References
A company name, industry and partnership description are published only as a record whose sharing permission has been approved by company management. Contact UDENZA to request corrections to references.
Your rights and privacy requests
Where the relevant conditions under the GDPR are met, you have rights to information, access, rectification, erasure, restriction of processing, data portability and objection; where processing is based on consent, you may withdraw that consent. The scope of these rights and any exceptions may vary according to the processing context. European Commission summary of data subject rights.

Complaint
For the data controller in Romania, where the relevant jurisdictional conditions are met, you may submit a complaint about the processing of personal data to Romania's data protection authority, ANSPDCP. ANSPDCP complaint information.
